A first readiness meeting is more useful when it begins with a clear question and a few confirmed facts. It does not need to begin with a large upload of network diagrams, employee records or customer files. A short, nonsensitive brief can help an internal team or an outside adviser understand what decision is needed and what remains unknown.
This suggested intake format is not an assessment, a classification tool or a required government form. It should not contain FCI, CUI, passwords, vulnerabilities or confidential contract text. If a discussion later requires sensitive material, first agree on an approved channel, access and purpose. Do not use an ordinary sales contact form as a protected evidence repository.
Write the question before collecting the attachments
Begin with one sentence about the work: for example, a supplier wants to understand the cybersecurity requirement in a new subcontract. Identify the responsible contracts contact and the operational owner. A file label such as “CMMC documents” tells an adviser less than a specific unresolved question about information, systems, assessment route or timing.
Separate a buyer request from a conclusion. A customer asking for a questionnaire does not by itself establish which rule applies to every company system. The actual acquisition documents matter. Record a nonsensitive reference to the controlling document and who can retrieve it internally. Ask the authorized contracting party for clarification when needed rather than choosing the most convenient interpretation.
A fictional brief that fits on one page
Fictional Meadow Fabrication is considering a new order. Its manager and IT provider use this brief to prepare a discussion. These entries are invented for the example and contain no real operational or client information.
| Field | Safe example | Question to resolve |
|---|---|---|
| Business decision | Review the buyer's new cyber request | Which exact requirement and event apply? |
| Information question | Nonpublic order instructions expected; technical-file status unresolved | Who can confirm the information category? |
| Workflow summary | Customer message, approved workspace, managed device, returned deliverable | Which branches or external services need review? |
| Responsible roles | Operations manager, IT provider, contracts owner | Who can verify each fact and authorize a decision? |
| Next meeting outcome | Agreed investigation list and owners | What must be confirmed before selecting support? |
Describe uncertainty directly
Use “not yet confirmed” when that is the accurate answer. It is more useful than copying a confident label from a vendor brochure. List the person who can answer, the record they need and the next decision affected. An unresolved data category, a new service provider or an unknown sharing route can change the direction of the readiness work.
The official scoping rule considers the environment that handles the relevant information; it is not limited to equipment physically in the office. For meeting preparation, name categories of services and responsible roles at a high level. Keep detailed diagrams and access information in the approved internal system. The discussion can establish what needs inspection without broadcasting the environment.
Give the meeting a small, realistic outcome
A useful first outcome might be a confirmed source list, three open questions and a named owner for each. It should not be a premature compliance declaration. Allocate time for the IT provider to explain implementation and the contracts owner to explain the actual request. Let each distinguish what they know from what someone else must verify.
End by reading the actions aloud. Record who will investigate, which internal reference will be used and when the team expects to revisit the question. If outside support is appropriate, convert those actions into a bounded statement of work. Do not assume a paid adviser takes over the organization's assessment or senior official's affirmation responsibility.
Keep the brief useful after the call
Save a dated version with an internal owner. When a buyer issues new instructions or the workflow changes, update the affected question rather than treating the first meeting notes as permanent truth. The decision record on this site can hold nonsensitive references if it suits your workflow; keep sensitive supporting records elsewhere.
If arranging a discussion with Federal Bid Partners or another provider, use the brief to request a clear next step. A good intake conversation should leave the business better able to frame its question, whether or not it immediately buys additional work.
